Protecting PDFs from unauthorised sharing: what really works

5 min readUpdated

Anyone who sells a PDF asks themselves sooner or later: what if it simply gets forwarded? The honest answer first: absolute protection does not exist. But there are effective measures that solve most of the problem.

The honest limit

Once a buyer has a PDF on their device, they can in principle copy it, print it or photograph it. No system in the world prevents this reliably – not even expensive copy-protection solutions, which often mainly hinder honest buyers.

The realistic approach is therefore: the document must be truly inaccessible until payment, the path to the document must not be shareable, and the buyer should know that sharing is not allowed.

What does little good

  • One PDF password for everyone: A password that all buyers receive gets passed on just like the PDF itself.
  • Permission restrictions in the PDF: “Printing not allowed” or “Copying not allowed” can simply be ignored by many programs.
  • Public download links: A cloud link that never expires ends up in forums or chats sooner or later.

What really works

Encryption until payment. The document should be stored encrypted on the server and only decrypted after confirmed payment. That way nobody can get to the file through the back door – not even via guessed links.

Personal, limited download links. Each purchase gets its own link that only allows a certain number of downloads and expires after a set time. If a buyer forwards the link, it quickly becomes worthless.

A preview that gives nothing away. Buyers want to see what they are buying. A heavily pixelated preview shows structure and scope, but no readable content.

Clear terms of use in the document. A short note on the first page – such as “Licence for one person, sharing not permitted” – works with most buyers. For custom work you can also put the client’s name in the document.

PayDoc encrypts every PDF with AES-256 and a separate key per document. You set the number of downloads and the access period per document.

The best protection: a fair price and good service

Anyone who can buy a document easily and at a fair price rarely looks for a free copy. A smooth purchase with TWINT or card, instant delivery and a reachable contact person are often more effective than any technical hurdle.
